Mail Merge an Access Database into Word

Okay, I'm going to try to describe this as best as I can, there will be little space for deviation, so as long as you get the main points of deviation from the norm, you should be alright...

First of all you need to have prepared your names, addresses and whatever in a table of an Access database. There should be an excel table prepared for just such an occasion, which requires converting in the appropriate manner using Access.

First you will need a letter to merge the details into. If these words following, here yes?, are a hyperlink then there is one available. Make sure the document is open in Word.

Right...

Tools > Mail Merge

If it's not there, then Word is hiding it. Wait a few moments or click the expand arrows at the bottom of the menu.

1. Begin by clicking the Create button - well, go on then! It's next to the number 1

next dialogue click: Form Letters... and select the Active Window on the next.

 

2. Data Source - click the button that says Get Data

You're going to be using an exixting database so click Open Data Source...

Now you have to find your data source. In general we will be using Access databases for mail merges so you'll have to change the file type to MS Access Database in the Files of Type select box. Then go and find your database, Ok, select the table, Ok.

If you have no merge fields already in your document, you will be informed informed as such and given the chance to Edit Main Document.

Insert Merge Fields by clicking on the "Insert Merge Fields" button on the top LHS undeneath the other buttons & menus. REMEMBER TO INCLUDE SPACES AND PUNCTUATION, as appropriate, or the address WillReadSomethingLikeThis. Now progress... Press the 'Mail Merge' button on the menu, or Tools > Mail Merge as before

Right, you should be at stage...

 

3: Press Merge

Merge to new document, yeah, yeah, give it a name, if you will, okay, hit Merge

And it should all be done...
